商务信函的撰写原则

“3C” principles are the most basic principles of writing business correspondence.To write a business letter,you should master “3C” principles.

“3C” means Clarity,Conciseness and Courtesy.

“3C”原则是撰写商务信函的最基本原则。要写好商务信函,应掌握3个“C”原则。

“3C”表示明确、简洁和礼貌。

1.Clarity 明确

It means that the content of the letter should be clearly expressed,and the following points should be noted in the writing process:

(1)Explain yourself clearly and avoid word errors;

(2)Avoid ambiguous sentences,state with well-constructed sentences and paragraphs;

(3)A business letter should outline the necessary items.

信函的内容要表达明确,写作过程中要注意如下几点:

(1)表达明晰,避免用词不当;

(2)避免使用含义模糊不清的句子,精心组织句子和段落;

(3)商务信函对必要的条款应清晰罗列。

2.Conciseness 简洁

In the business correspondences,least words should be used to explain most complete information,which will save time for both parties and give clear and desired information to the other party.For examples,“now” is commonly used to replace “at the present of”.

(1)Express briefly but completely,avoid repetition;

(2)Use short sentences and words reasonably.

在商务信函中,应使用最简洁的语句来阐述最完整的信息,这将为双方节省时间,同时向对方提供其所需的明确信息。例如,“现在”通常可以替换“在当前情况下”。

(1)简要但完整地表达,避免不必要的重复;

(2)合理使用短句和单词。

3.Courtesy 礼貌

It is indispensable to be polite and courteous in tone,words and expressions in business correspondences.Friendly wording and tone may achieve good effects and save various costs.Reply in time is also a polite expression.In writing a letter,you should try to put yourself in HIS place,emphasize YOU attitude instead of WE attitude,consider what the other party needs.
