Scene Two: John Smith from Peking University is calling to Shangri-La Hotel to reserve a conference room for an international academic conference.
Advance reservation service is provided by the Front Office. The reservationist works at the front desk by the lobby. What the reservationist should do involves answering questions concerning reservations, booking and assigning rooms for guests who request rooms in the hotel. The reservationist also takes reservations, cancellations and revisions, and types and sends out the hotel’s letter of confirmation.
There are different ways of making reservations. You can send reservation e-mail to the hotel.You can go directly to the hotel and make reservations in person or call the hotel and make reservations over the telephone. You can also fax the hotel for reserving rooms. Nowadays fax reservation has become more and more popular, for with the fax, the communication is instantaneous.
When a reservationist receives a reservation request, he/she first checks the hotel’s booking situation to see if the hotel has any vacancy during the specified period. If there are rooms available, the reservationist would fill out a reservation form and record the information in a reserv ation diary.
